General Rules of the White Hart Golf Society (Revised Nov 2023)

1. The society is known as ‘The White Hart Golf Society.

2. Any correspondence should be addressed to temporary White Hart Golf Society Chairman Jim Darrah email: jim@itsafricansunset.co.uk


3. The object of the society is to encourage players of all abilities to participate and enjoy the game of golf and occasional social gatherings.

4. The society is administered on behalf of the members by a committee. The committee are: Captain Dan Cheek, Treasurer Colin Clarke, Handicap Secretary Jim Darrah, Webmaster Brian Bell, Chairman Jim Darrah (Temp) and General Committee Members Martin Riddell and John Wiggins.

 

5. Committee members are honorary unpaid positions and any fully paid-up member can be proposed as a committee member at an AGM by another fully paid-up member.  

6. Committee members shall serve until they retire or be replaced at an AGM where new officers have been proposed only by fully paid-up members present in person and majority voted in at said meeting.

7. The committee quorum will be a minimum of 3 to conduct business.  In matters before committee that require a vote, the Chair shall cast the deciding vote in the event there is a tie. Minutes of committee meetings will be circulated by email and posted on a notice board in The White Hart when possible.

8. Subscriptions are paid in advance and in full each year in an amount set by the committee, currently £60.  Subscriptions are payable to club funds for each full season or part thereof.  

9. The time limit for payment in full of the annual subscription is by time of the 3rd competition played by the Society in each New Year.

10. Any member who has not paid subscriptions in full shall only play as an ‘Associate Member’ and will not be eligible to receive any prize from club funds until such time as subscription has been paid over in full.

11. Society membership is open to anyone sponsored by a current member and approved by committee.

 

12. The season runs from October to September each year and the society endeavours to play every month at local courses. The cut off for entry into monthly competitions is Monday at noon before competition so we can confirm numbers to the venue (NB: if venue wants to know sooner members will be advised). The order of play will be determined by a random draw before the start of each competition.

13. Member handicaps are maintained by the Handicap Secretary using a licenced copy of HandicapMaster v6 software program.  All gross scores are entered into the program which automatically calculates exact handicaps for each member. The software calculates handicaps using a modified USGA setting for each course.
New members must have submitted 3 full scorecards, signed & witnessed by another WHGS member, before a WHGS handicap is given, to qualify for monthly competition wins.


14. To give as many members as possible the opportunity to win competitions there will be the following additional adjustment after each competition:


     20-54 Handicaps Winner cut 2 shots, 2nd Place cut 1 shot
     10-19 Handicaps Winner cut 1 shot, 2nd Place cut ½ shot
     0-9 Handicaps Winner cut ½ shot, 2nd Place nil cut

15. Above adjustments will be used as an ‘Event Handicap’ for next competition a member plays in.

16. ‘Event Handicap’ is temporary until next event played.

17. The Handicap Secretary’s decision is final in all matters concerning handicap.

18. Scorecards are to be signed and handed in at end of each event. Members must ensure Gross scores are carefully checked between Player and Marker cards. Any signed cards submitted with different Gross scores will disqualify both Player & Marker.  The Handicap Secretary decision is final on spoiled scorecards. The last resort is disqualification if it cannot be clear for accurate scoring.

19. Prizes are awarded for 1st Place at £25, 2nd Place at £15 and 3rd place at £10. Prizes only awarded to fully paid-up members.

20. Additional prizes for competition days are awarded from club funds as follows:
         Nearest Pin Front 9 - £10
         Nearest Pin Back 9 - £10
         Nearest Pin in Two - £10
         Nearest Pin in Three - £10
         Low Gross LOW H’Caps - 1st £10, 2nd £5
         Low Gross MID H’Caps - 1st £10, 2nd £5

         Low Gross HIGH H’Caps - 1st £10, 2nd £5


21. Any 2 scored in a monthly competition will receive a prize based upon the running total in the ‘Any 2’ prize pot.  This prize pot is increased by £15 each month until won. Any amount remaining in prize pot after December competition will go back into Society funds. These prizes are only awarded to fully paid-up members. 


22. All prizes are kept on record by the Treasurer for the total membership winnings and will be presented at an end of season prize giving.

23. If you are not present at end of season prize giving, then you must make arrangements to collect winnings as soon as possible after from the Treasurer.  Winnings will not be handed over before prize giving day under any circumstances.

24. Fines may be imposed by Treasurer as follows:
      a) Any person not turning up for monthly competition entered into shall be liable to pay actual green fees if we cannot get the actual cost refunded.
      b) Members arriving late less than 30 minutes before first tee time for monthly competition may be liable to a fine of £5.

25. Royal and Ancient rules should be adhered to and any cheating will result in disqualification.

26. Any complaints should be made, in writing, to the Chairman who shall cause them to be discussed at the next Committee meeting.

27. Society members should remember that we are visitors to golf clubs and as such are subject to their rules and regulations.

28. No Gimmies - players should putt out on greens for any points/strokes that may be available.
